Easy Lib Tour


Initial setup

First, start off in supervisor mode.

The software opens in 'user mode' to stop unauthorised personnel from entering the system setup and edit modes. To change to 'supervisor mode' go to File - Supervisor mode, and the software will operate unrestricted. You can set up a password to enter supervisor mode, and a separate password to allow the program to quit. This is especially important when the system is being operated 'self service' style. To set the passwords, go to Tools - Options.

Next, the borrower database must be set up.

Click on Edit Classes.

To enter a new class click mouse on New. Type in the class number i.e. 1A. When completed class click mouse on OK. (Similarly classes can be edited and deleted). When all classes have been entered click mouse on Done.

Next, set up the Borrower Levels and Flags.

Levels - Allows four types of Borrowers e.g. Pupils, Staff etc. and how many Books they are able to borrow. Simply type in the appropriate description of Borrower and how many books.

Flags - There are four Flag descriptions that can be entered e.g. "See Librarian". These can be set against an individual Borrower at any time.

Next, enter details of the borrowers:

To enter a new Borrower class click mouse on Main and then New. Type in the Surname (then TAB), First name (then TAB). Click mouse on the down arrow of the Class field and select the class, (then TAB). Either read the Barcode number with the barcode reader or type the number in, (then TAB). Click mouse on the down arrow of the Level field and select the level.

If required click mouse on Comments and click mouse on the down arrow of the Flag field and select the appropriate flag (note: a flag would normally only be set during the full operation of the Library System). Also a comment can be typed in the Comment box, but this is for reference only.

Next, set up the book levels and flags

Levels - Allows four types of Loan Stock e.g. Normal Loan, Audio Visual, Reference etc. and how long each type of book can be loaned for e.g. 21 days, 3 days, 0 days etc. Simply type in the appropriate description of loan stock and how many days loan.

Flags - There are four Flag descriptions that can be entered e.g. ""To be withdrawn". These can be set against an individual Book at any time.

Next, create a structure of keywords:

Click mouse on Add. Type in the primary keyword e.g. History, War etc. Sub keywords can be added by click mouse on Add Sub and typing in the appropriate words e.g. Social, World War II etc.

Click mouse on Delete to delete any Keyword or Sub Keyword which is highlighted. Click mouse on Expand to show all Keywords and Sub Keywords and Collapse to return to just main Keywords.

Next, enter your books onto the system.

Click mouse on Database - Edit catalogue.

To enter a new Book click mouse on Main and then New. Type in the Title (then TAB), Author (then TAB). Either read the ISBN number with the barcode reader or type the number in (then TAB) NOTE: If the book does not have an ISBN then you can use one of the 100 Dummy ISBN numbers supplied with the package. Type in Dewey number (if required) (then TAB). Type in Location (if required)). Click mouse on the right hand box of the Keyword field and select keywords already entered or enter new ones as above.

Click mouse on Information. Press TAB and type in Reading Age (if required). Press TAB and type in Interest Age (if required). Press TAB and click mouse on the down arrow of the Category field and select the appropriate category. Press TAB and type in the Publisher. Press TAB and if required click mouse on Published and select the appropriate year. Press TAB and type in the Price.

If required click mouse on Comments and click mouse on the down arrow of the Flag field and select the appropriate flag (note: a flag would normally only be set during the full operation of the Library System).

Comment words can be typed in the Comment box. NOTE: Entries in the comment box are displayed and searched within the Catalogue Search screen. (Making this a powerful search facility).

When completed click mouse on OK. Click mouse on Books and either read the Accession number with the barcode reader or type the number in.

Speedier ways to enter book details.

Some useful optional extras are available with Easylib:

A starter database is available for both primary and secondary schools, containing many popular books common to many schools. Use this as a time saving way to avoid entering your books from scratch.

A books in print DVD is also available, listing all books both in and out of print for the last 10 years. This links to Easylib such that all book details are automatically entered once a book has been selected on the DVD.

Easylib will also link to the 'Books for Students' scheme, where each new order of books is accompanied by a floppy disk containing the book details. This can be imported directly into Easylib to save having to re-key the data.

By special request, data from other library system databases can be imported into Easylib. Please contact your supplier for further details.

Issue books

Click mouse on Issue or press F1 or scan F1 on the bar coded menu sheet supplied with the library system.

Easy Lib Tour            Next, scan the Borrower barcode or press F12 to manually select a borrower from the database.

Easy Lib Tour            Next, scan the Accession Number in each book or press F12 to select book to be issued.


Note: The due back date is calculated from the Edit Book Levels & Flag set ups. If the borrower is over borrowed the system will alarm, but still enable further books to be borrowed.

Return books

Click mouse on Return or press F2 or scan F2 on the bar coded menu sheet supplied with the library system..

Read the Accession Number in each book or press F12 and do a catalogue search, then select book to be returned.

Reserve books

Click mouse on Reserve or press F3 or scan F3 on the bar coded menu sheet supplied with the library system.

Read Borrower barcode or press F12. If F12 is pressed then a search can be made on either an individual name or a class of names.

Read the Accession Number in each book or press F12 and do a catalogue search, then select book to be reserved.

Renew books

Click mouse on Renew or press F4 or scan F4 on the bar coded menu sheet supplied with the library system.

Read the Accession Number in each book or press F12 and do a catalogue search, then select book to be renewed.

Search for books

Click mouse on Search or press F5.

The width of title boxes, of the search result, can be altered by clicking with the mouse on the box line and dragging across. (Standard windows procedure).

In the Search For field enter the search words. NOTE: These words or part words will be searched for in any or all of the catalogue fields. (Words that were entered into the comment box during the book entry can also be searched. This enables intricate search facilities)

Click mouse on Help to show the various ways of using the search facility including a comprehensive boolean search.

When the search criteria has been selected click mouse on Start.

There is also a specific Keyword search. Click mouse on Keyword. Click mouse in box at end of keyword field. The Sub Keywords can be displayed. Click mouse on Expand. Click mouse on keyword of your choice. Click mouse on OK. Click mouse on Start.

Click with the mouse on any of these fields l Barcode l Title l Author l etc. and the search will be formatted in correct order (ie Alphabetical or Numerical) and also in reverse order.

Double click with the mouse on the book of your choice and the full screen of data for that book will be displayed.

Reports can be printed directly from the search screen or from the reporting menu.

A separate network search module is available for Easylib. This enables book searching to be done from any PC on your network. Students are therefore able to identify appropriate reference material without needing to leave the classroom, for example. For more details, please contact your Easylib supplier.
